Terms of Service

Last updated 24 June 2026

These terms set out what TalentDesk Pay does, what we are responsible for and what you are. We have kept them in plain English, because terms nobody reads protect nobody.

1. These terms

These terms govern your use of TalentDesk Pay, a supplier payment product operated by TalentDesk. By creating an account you agree to them on behalf of your business, and you confirm you are authorised to do so.

TalentDesk Pay is for business use only. It is not available to consumers.

2. What the service does

TalentDesk Pay lets you record supplier invoices, compare the all-in cost of paying them across payment routes, obtain approval from the right people in your business, and instruct a payment.

We are a technology provider. We are not a bank and we do not hold your money as a deposit. Payments are executed by regulated payment partners, and funds you send for a payment are handled by those partners.

3. Your account and your team

You are responsible for who you invite, what rights you give them and for keeping login credentials and authenticator devices secure. Two-factor authentication is required on every account.

Approval rules are yours to set. We provide the controls — including separating whoever raises a payment from whoever approves it — but it is your business that decides who holds which right. An approval given by one of your users is treated as given by your business.

4. Quotes, rates and fees

A quote shows the exchange rate, the fee and what your supplier will receive at the moment it is produced. Quotes are time-limited and expire. Once expired, a payment must be re-quoted at the prevailing rate before it can be paid.

Our fee and the payment route's fee are shown together, and we state whether that fee is borne by you or deducted from the amount your supplier receives. The exchange rate shown already includes our FX margin — there is no separate spread to add on top.

Where you bear the fees, your supplier receives exactly the amount shown. A receiving bank may apply its own charge on arrival, which is set by that bank and is outside our control.

Any savings figures shown are estimates, calculated against a typical bank cost for the same corridor. They are illustrative and not a guarantee.

5. Verification and compliance

Before we can issue funding instructions or execute a payment, we must verify your business and the people who control it, and screen payments against sanctions and financial crime controls.

We may delay, hold, decline or reverse a payment where a check is outstanding or a screening alert is raised, and we may be legally prevented from telling you why. Where we can tell you, we will.

6. Funding and payment execution

You fund a payment either from your TalentDesk Pay balance or by bank transfer against the instructions we issue. We instruct the payment once it is approved and funded.

Delivery times are estimates, not commitments. Supplier bank details are your responsibility: if a payment is sent to details you supplied and confirmed, we will help you trace and recall it, but we cannot guarantee its return.

7. What you must not do

  • Use the service for anything unlawful, or to pay a sanctioned person, entity or country.
  • Give us false, stolen or misleading information about your business, your suppliers or an invoice.
  • Try to defeat our approval controls, access another business's data, or probe the service for weaknesses without our written permission.
  • Resell or provide the service to a third party as if it were your own.

8. Availability

We work to keep the service available but do not promise it will be uninterrupted. We may suspend access for maintenance, or to protect the service or our customers, and will give notice where we reasonably can.

Features described as early access, demo or illustrative may change or be withdrawn.

9. Liability

Nothing in these terms limits liability for fraud, for death or personal injury caused by negligence, or for anything else that cannot be limited by law.

Subject to that, we are not liable for loss of profit, loss of business, loss of anticipated savings or indirect or consequential loss, and our total liability in any twelve-month period is limited to the fees you paid us in that period.

We are not liable for a payment delayed, held or declined by a regulated payment partner, a receiving bank or a sanctions control, or for a payment sent to supplier details you supplied.

10. Ending the agreement

You can close your account at any time. We can end or suspend it on reasonable notice, or immediately if you breach these terms or we are required to by law or regulation.

When an account closes we settle or return funds held for payments not yet instructed, and keep the records we are legally required to keep. Audit trails for payments already made are retained.

11. Changes and governing law

We may update these terms. If a change materially affects you we will tell you by email or in the product before it takes effect; continuing to use the service after that means you accept the change.

These terms are governed by the laws of England and Wales, and the courts of England and Wales have exclusive jurisdiction.
